What do I need to know to get started?
If you know you're considering a party with us and you
want a Saturday, please inquire early as Saturday dates
fill up fast. Bookings are first come first serve.
We book only one event for any calendar date to ensure
outstanding service to you. You can call us at
785-650-2362 or fill out the information on the Price
Quote page and we'll get back to you with your quote.
Additionally a non-refundable deposit of $200 is
required to book any event.
What
information will you need to write a quote?
We need the following:
Full name and address of the person responsible for
booking and billing
Address of the event
Date of the event
Time of appetizer and/or dinner service
Estimated guest count including children
Menu selections
What
items does the quote cover?
All quotes include the following:
Food
Cook staff adequate for the size of the job
Cooking fuels
Service platters, baskets, bowls
Serving utensils
Buffet set-up, service, and take down
Trash cleanup of the service area only
Travel expenses at $1 per mile roundtrip from Hays with
a $30 minimum charge
If your event contains a large menu with lots of
preparation required, a walk-in cooler and additional
staff may be required. The additional cost for
this cooler and staff required will depend on the time
involved and the location of the event. This cost
will appear as a separate item on the final proposal.
Will
there be any additional costs later?
For events booked early, there may be reasonable food
price increases later in the season.
One hour is allowed for appetizer service and one and
one-half hour is allowed for dinner service. For
any delays beyond the scheduled time of dinner service,
there will be an overtime rate of $30 per hour per staff
person.
Final guest count is due 14 days prior to the event.
No contractual adjustments will be made after this date
for no shows. If the guest count increases above
the guaranteed number, there will be an additional
charge based on the per person price of the menu you
select. Children are included in this count.
If additional staffing is necessary to accommodate an
increase in guest count, there will be additional
staffing cost.
How much time do you need to prepare?
Depending on the menu, we will be on site 4-6 hours
prior to the event to finish preparation, set-up and
cook. If you're having a pig roast, we will arrive
20 hours prior to the event time to set-up. As
guests begin to arrive, carving will begin and dinner
will be served. This will be an hour and a half
after the guests arrive. All times are subject to
change based on Kansas weather conditions and the
arrival of guests.
What do I
need to provide?
We will need flat ground for the 20' catering trailer
and enough
room to maneuver around.
A 10'x20' cook tent without center poles is MANDATORY.
If you will need chafing dishes for any menu items, they
will need
to be included on your rental list. Be
sure to include sternos.
We will need at least three 6' buffet tables with your
choice of linens.
Two large trash barrels and bags are needed for your
guests. Trash disposal will be your
responsibility.
We will need a source for potable water. All of
our service equipment will be washed before we leave.
If your event requires the use of a walk-in cooler,
access to 20 amp power is required.
Restroom facilities are needed for the staff.
